Configuration of Your New Donor Management System

Designed for organizations who’ve recently migrated into a new CRM system, and are ready to align their CRM with the unique needs of their organization.

This period during or after “moving in” to a new database can be particularly challenging as you learn to navigate an unfamiliar system, integrating it with existing tools, while keeping your fundraising program from missing a beat.

Our first goal is to get you up and running, with the basic functionality in place, your staff feeling comfortable and confident, and moving forward with your fundraising plan.

Then, we’ll help you make the most of your investment by helping your team understand and utilize the more advanced features of your donor management software. We’ll also help by making sure your data is clean and organized, operating processes are in place and documented; integrations are set up and functioning efficiently.

HOW WE’LL HELP

  • Migrating (or assisting with migration) data from your legacy system (or spreadsheets) into your new CRM system.

  • Data cleanup, record deduplication, household and relationship linking (between spouses, business, donor advised funds, etc…)

  • Creating donor segmentation systems that group, tag and organize your donors for clear identification and relevant communications.

  • Working with your team on the less-intuitive features of your system (such as searching, reporting, custom fields, etc…)

 

• Establishing smooth integration and syncing between your CRM and other tools, such as email service, financial software, and event management tools.

• Building and aligning campaign pages, online forms, and auto-receipting to function smoothly with your donor-facing tools and website.

• Building reports and filters for easy access to the information you need about your constituents and your fundraising results.

• Drafting process and systems manual for consistent data entry and donor management.

How it Works

This represents a typical project timeline and pricing structure for organizations who have already migrated their data into their system. Projects that include migration (moving their data into their CRM) adds an additional step post-assessment.

 

Step 1 •Inquiry

 

We’ll begin with a brief call to discuss your organization’s needs, challenges, short-term and long-term goals and explore how we can work together.

Duration: 30 minutes
Cost: None

 

Step 2 •Engagement

 

After our inquiry call, you’ll receive a custom proposal and letter of agreement for our work together. Once all your questions are answered and you’ve decided to move forward, we’ll both sign our agreement and get ready to kick-off our project!

Duration: ~ 1-week turnaround

 

Step 3 •Roadmapping

 

This first phase includes review and assessment of your CRM current status, recurring gift status, data integrity, integrations with other tools, etc... At the conclusion of this phase, you’ll receive our recommended “Data Roadmap.” We’ll meet with your team to review, determine priorities and confirm your implementation plan and timeline.

Duration: 2-3 weeks
Cost: $950 (Including $150 deposit at booking)

 

Step 4 •Configuration

 

With our plan in place, we work within your system (and with your team as necessary) to ensure all basic technological pieces, donor-facing elements (such as online donation forms and acknowledgements) and integrations (such as email, quickbooks, eventbrite, etc…) are functioning smoothly.

Duration: Typically 2-3 months (determined and outlined during assessment phase).

Cost: Projects typically range from $2,300 - $3,450 depending on complexity, services determined, and level of data cleanup necessary.


Note: Data Migration projects (“migrating” your data into a new CRM) are billed hourly, rather than by project, as they vary greatly by organization. Please get in touch to discuss your specifics!
