Bloomerang Configuration, Setup, and Strategy

Designed for nonprofit organizations new to Bloomerang’s tools, who are ready to align their system with the unique needs of their organization.

This period during or after “moving in” to a new database can be particularly challenging as you learn to navigate an unfamiliar system, integrating it with existing tools, while keeping your fundraising program from missing a beat.

Our first goal is to get you up and running with data clean and organized, Bloomerang Fundraising forms polished and smoothly integrated with Bloomerang CRM. We want your staff feeling comfortable and confident, and able to moving forward with your fundraising goals.

Because we’ve seen how small configuration decisions can lead to major challenges down the road, we’ll help you make smart structural choices from the start. Drawing on years of experience, we know which settings, structures, and workflows work best, and how to avoid common pitfalls.

WHAT WE’LL DO

  • Import data from your legacy system or other external tools into your new CRM system so that everything is in one place.

  • Data cleanup, record deduplication, household and relationship linking (between spouses, business, donor advised funds, etc…)

  • Creating donor segmentation systems that group, tag and organize your donors for clear identification and relevant communications.

  • Working with your team on the less-intuitive features of your system (such as searching, reporting, custom fields, etc…)

 

• Build

• Building and aligning campaign pages, online forms, and auto-receipting to function smoothly with your donor-facing tools and website.

• Building reports and filters for easy access to critical information about your constituents and your fundraising results.

• Drafting process and systems manual for consistent data entry and donor management.

How it Works

This represents a typical project timeline for organizations who have already migrated their data into Bloomerang. Projects that include migration (moving their data into their CRM) adds an additional step.

 

Step 1 •Inquiry

 

We’ll begin with a brief call to discuss your organization’s needs, challenges, short-term and long-term goals, determine the appropriate service package, and explore if we are a good fit to work together.

Duration: 30 minutes
Cost: None

 

Step 2 •Engagement

 

After our inquiry call, you’ll receive a custom proposal and letter of agreement for our work together. Once all your questions are answered and you’ve decided to move forward, we’ll both sign our agreement, you’ll make your initial payment, and we’ll schedule our kick-off date.

Duration: ~ 1-week turnaround

 

Phase 1 •Foundations

 

Core Functionality and Data Integrity

In this first phase of our work together, all basic technological pieces and donor-facing elements (such as online donation forms and acknowledgements) will be functioning smoothly. We’ll provide you with key custom reports designed for strategy and growth.

We’ll assess your data structure and integrity, developing a full understanding of your unique organizational needs and challenges, where you are today, and a clear path to get you where you need to be.

We'll conclude this phase with a recommended implementation plan for Phase 2, an estimated timeline, and a one-hour meeting where we'll review and discuss next steps.

Duration: ~ 1 - 1.5 months

 

Phase 2 • Elevation

 

Integration,  Automation, and Optimization

With your vision clarified and core functionality established, we’ll shift focus to configuring and integrating your supporting applications and platforms.

We'll implement automations and workflows, refining your systems to ensure everything operates smoothly and seamlessly.  

Duration: Typically 2-3 months, determined and outlined during phase 1.

Platform Integration and Implementation in this phase may include:

  • Email Management (Bloomerang, mailchimp, constant contact, etc…)

  • Financial Tool Integration (Quickbooks online, etc...)

  • Membership Management

  • Event-related Data Management (OneCause, Bloomerang Fundraising (QGiv) or Eventbrite, etc…)

  • Relational databases (Airtable, Hubspot, etc...)

  • Form Management (Jotform, Gravity Forms, etc...)

  • Zapier (extended automations)


Note: Data Migration projects (“migrating” your full data into a new CRM) are billed hourly, rather than by project, as they vary greatly by organization. Please get in touch to discuss your specifics!
